Documenting competence and awareness in ISO 9001

I am starting to prepare the documents for the training module of each position in the particular department. I would like to clarify that competence training and awareness is necessary to have documentation or give some sample of documents that need to prepare. Thank You!

Answer:

The standard only requires documentation that demonstrates competence, e.g. diplomas, certificates, training records, etc. It is not required to document procedure for training, competence or awareness and neither is required to document training materials. Of course, in some cases the organization can decide to have documented procedure for competence training and awareness and even training materials,but this is based on the needs of the organization or requirements of the customer, not on requirements of the standard.

Dear All,
for our QMS we prepared a check list for new employee in order to document the training that they received. It is a Word file stored in the SharePoint. Inside is included a head where is written the Doc. num., the approver, creation date etc. I have two question about that:
1 - it is also needed to put in the head of the document all those information in they are already in the SharePoint area?
2 - Have sense that only the Sector Head will be in the loop of the workflows for the approval stage?
In this specific case, we don't need to print each check list but is stored only the electronic version.

Dear Alessandro,

Please find the answers bellow:

1. Every record should have proper identification, description, format and media. I think your system satisfies these requirements.

2. The standard doesn't define who should approve the documents, so you can put the department head if it is the most suitable person.

You can keep records on any media you like, I'm also more leaning towards electronic than paper documents.
