Keeping data in hard copy

At the moment we store all our data in hard copy, then all this hard copy documentation is scanned to make a electronic backup. The question is do people have to store hard copy paper documents to comply with GDPR or can we have to electronic storage facilities and destroy the original hard copy?

Answer:

The EU GDPR does not have specific requirements on how to store personal data. You just need to make sure that, regardless of how you store it, the ongoing availability, integrity and confidentiality of personal data is maintained.

Thanks so much for your kind reply. I would like to extend the question as follows if I may:

We will be scanning the originals in two different electronic back ups as we are trying to gain physical space. The question is: Do we have to proceed to destroy the originals and therefore complete our records destruction form for every original document we destroy? or does the GDPR does not allow to destroy originals. I hope this makes sense.

Answer:

This has to do with the way you deal internally with document management. The GDPR does not refer to destruction of original documents or replacing hard copy documents with electronic records. You should also check if under local laws there are specific requirements on how to keep electronic archives .
